Connect

Setup begins with a single approval. A tenant administrator grants consent once, through Microsoft's standard admin-consent flow, and Pulse takes care of the rest. There is nothing your team has to install, no user accounts to change, and no tokens or app registrations to manage by hand.

Once consent is granted, Pulse can read and route mail in the mailboxes you specify. Authorization can be revoked from the Microsoft 365 admin center at any time.

Configure

Configuration starts with watching. For the first two weeks, Pulse files nothing. It observes how your team handles mail, learns your patterns, and proposes a folder structure to match, so the setup reflects how the mailbox actually works rather than a guess made on day one.

From there, an MHK technician reviews that structure with you and sets routing rules for your major clients, vendors, and recurring senders. We work from what you already have, so your taxonomy stays yours.

The technician also sets the pace for each mailbox: how long Pulse waits before it files. A busy shared inbox can file quickly, while an executive's mailbox can wait a little longer, leaving a moment to glance at new mail before it moves.

This typically takes one onboarding call plus a few hours of asynchronous setup. Nothing for your team to do beyond a brief walkthrough.

Run

With the observation window complete and the routing in place, Pulse moves into its daily rhythm.

Inbound email is classified as it arrives, then filed to the appropriate folder once the mailbox's configured wait has passed. Your team continues to use Outlook exactly as before. The only difference is that the inbox is already organized when you open it.

Digests arrive on a schedule configured for each mailbox, as many as twelve a day or as few as one, set by your MHK technician. Each one summarizes what needs your attention and what was filed where.

Adapt

When the system files something incorrectly, you simply move it to the right folder. The classifier reads that movement as a correction signal and adjusts. No retraining process, no admin interface required. As new patterns emerge, Pulse also proposes new folders and keeps the taxonomy clean, so your existing structure stays yours.

The first two weeks of observation are where Pulse learns how you file, and it keeps refining from your corrections over time, so corrections get rarer as a mailbox settles. When the classifier isn't confident it holds the message for review rather than guessing, so an uncertain call surfaces in your digest instead of landing in the wrong folder. MHK technicians review classification quality on a recurring cadence and tune routing rules as your correspondence patterns change.
